Iron County Schools Case Study

Iron County School logo

Iron County School District, located in Cedar City, Utah, is a growing school district with over 1500 employees. Like many school districts across the nation, Iron County Schools set out to reduce payroll costs, and ultimately chose online W-2s and pay stubs as part of the Doculivery online document solution from NatPay.

The main business objective of Iron County Schools that led them to NatPay was to utilize an online payroll solution to help streamline their payroll operations. “We were interested in reducing costs and increasing convenience through online distribution of pay stubs and W-2s for employees,” stated Mike Mitchell, Accounting Dept. for Iron County Schools.

Several factors were key in searching for the solution to their business problem.

“Cost was our primary factor, but user friendliness and flexibility were also important influencers as well,” stated Mitchell. NatPay provides online document solutions for dozens of school districts across the nation and realizes what it takes for school districts to experience a successful and seamless integration for adopting an online pay stub and W-2 solution.

“We wanted the solution to be easy to use and provide integration support as well,” stated Mitchell. NatPay uses the latest in SSL security, Geotrust certificates, and a 3-tier firewall to safeguard client data. Employees login to a safe and secure website to access their pay information. Online pay stubs and W-2s present the school district with a valuable employee self-service benefit, and employees love being able to access their pay information 24/7, and receive text messages that their pay is in the bank.

Immediate ROI is another aspect of implementing an online document solution that many schools enjoy. Many organizations realize a return on investment in as little as two months after rollout. “We are still evaluating this but it appears that we will realize a positive return on investment. We are pleased with the results thus far,” remarked Mitchell.

Bismarck Schools Adopt Greener Payroll Practices to Save Money, Time, and Trees

Tampa, FL (March 12, 2008) – As part of a comprehensive effort to streamline its payroll procedures and empower its workforce, Bismarck Public Schools are going green. They’ve adopted National Payment’s EZStub online pay stub service as part of a “less-paper” initiative that saves money, time, and valuable human and natural resources.

National Payment hosts employee payroll data on a secure website that employees can access from any computer with an Internet connection, so employees can now view their stubs from virtually anywhere — whether they’re at home, at work, traveling on business, or even on vacation. And even more importantly, with access to up to four years of payroll records, employees can retrieve their information without having to contact anyone in the payroll department — the ultimate benefit in terms of convenience and flexibility for employees.

Bismarck public school employees were already using direct deposit to receive their paychecks, so online pay stubs were the logical next step in the process. “We really feel that our payroll office is setting an example by taking advantage of the benefits that technology offers to be able to process and pay staff in a very efficient and state-of-the-art manner. We brag about how many ‘trees we’ve saved’ since we’ve implemented direct deposit and EZStub. I think our staff really like being able to look up their pay information whenever they want without having to bother someone in payroll, because they know how busy they already are,” explains Ed Gerhardt, Business Manager for Bismarck Public Schools.

Prior to the schools’ implementation of EZStub, an entire day had to be devoted to stuffing envelopes and distributing paper pay stubs to staff members during each pay period. In addition to the paper being used to print the stubs, employees used box after box of envelopes to complete the task. Gerhardt knew there had to be a better way, and after receiving information about EZStub at a conference for the Association of School Business Officials, he knew he’d found the solution. “I realized that it was something that could save us considerable time and expense on our payroll processing,” Gerhardt explained.

National Payment offers an exclusive line of paperless payroll services, including direct deposit, online pay stubs, employee paycards, and electronic statement generation and billing services. For more information, please visit National Payment Corporation’s education website at www.schoolstubs.com or call 1-800-927-6120 for a free demonstration.

Highlands County Schools Go Paperless with EZStub Online Pay Stubs

Tampa, FL (May 23, 2007) – Schools in Highlands County, Florida are being schooled on the best “less-paper” payroll solutions available. Highlands County Schools Finance Coordinator Richard “Bo” Birt recently found a way to save thousands of dollars each year by offering school employees a choice: either keep receiving traditional paper pay stubs on payday or go paperless with National Payment Corporation’s EZStub online pay stub service.

Today’s school administrators have been forced to squeeze a dollar out of every dime, so the convenience and cost-effectiveness of “less-paper” payroll solutions have garnered their attention. By spending less time and money on the creation and distribution of paper pay stubs for its 1600 employees, Highlands County schools will free up resources that they can use to address critical needs in other areas. National Payment even offers special pricing for schools as part of its “Keep More Money in Your Schools” initiative.

“We think it will save several thousand dollars a year, including the time to print, insert, and distribute the pay stubs. Our employees are very happy with the EZStub service,” Birt explained.

“Employee self-serve options are just as important to employers as saving money and resources. With EZStub online pay stubs, you get both. Employers love the considerable savings, and employees enjoy having 24/7 access to their pay statements – especially when they’re purchasing a new car or a home,” stated Mark Williams, National Payment’s Marketing Director.

More information about EZStub online pay stubs is available by phone at 800-927-6120 or on the National Payment Corporation website at http://natpay.com/pay-stubs.

St. Petersburg, FL (May 2007) – The St. Petersburg Times, Florida’s largest newspaper, has snubbed paper pay stubs and will begin providing its staffers with EZStub electronic pay stubs from National Payment Corporation.

With circulation of more than 400,000 copies each Sunday, the Times is the 22nd largest newspaper in America and by far the leader in the burgeoning Tampa Bay marketplace. Online Pay Stubs Gets a Clean Bill of Health from Fauquier Health System Employees

Business Profile

Fauquier Health System is located in Fauquier County, Virginia, about 40 miles southwest of Washington, D.C. Established in 1954, Fauquier Health System includes an 86-bed acute-care facility, Fauquier Home Health, Warrenton Overlook Health and Rehabilitation Center, the LIFE Center, and three joint ventures: The Cancer Center at Lake Manassas, Piedmont Home Care, and Piedmont Medical Laboratory. Fauquier Health System employs a staff of over 1100 medical professionals, making it the largest private employer in the county. True to its mission of helping those in need, Fauquier provided approximately $4.4 million in free health care last year to those patients who could not afford it.

The Challenge

Fauquier Health System routinely faced two unenviable tasks. Not only did they have to print and mail over 900 paper pay stubs each pay period, but they were also routinely asked to retrieve old pay stubs for employees who hadn’t kept their copies. “We knew that the cost to generate and mail our pay stubs would increase as we continued to grow,” explained Donna Dewey, Fauquier’s Supervisor of AP Payroll. “We wanted to eliminate pay stub processing time, reduce mail costs, and provide our employees with flexibility and added benefits.”

The Solution

After reviewing their options, Fauquier selected NatPay’s paperless pay stubs to meet their needs. With online pay stubs, employees view current and previous pay stubs through a secure website, over email, or as a free payday text alert conveniently delivered to their cell phone or PDA.

Implementation

Since implementing NatPay’s online pay stubs didn’t require the use of any new hardware or software, Fauquier’s transition from paper to paperless went off without a hitch. Employees were most impressed with flexibility and ease of use of NatPay’s online pay stubs. “The staff was easy to work with and able to support everything we needed and more. They even set up a separate link to our newsletter right at the bottom of the pay stub screen. Our new pay stub looks more professional than our old pay stub,” added Dewey.

Result

Fauquier Health System estimates a cost savings of $10,000 each year in postage costs alone, and payroll administrators no longer have to dread the monotony of printing and stuffing for hours or trying to retrieve old paper stubs. As an added perk, employees now receive their pay stubs before their pay date, so they have time to verify their hours and benefits with no surprises on payday. If they need an old pay stub, they can print it at any time. They can even email it directly to a third party.

Fauquier has also provided solutions for employees who don’t have computers – they can have their electronic pay stubs forwarded to a spouse, adult child, or trusted friend, or they can visit one of the multiple onsite computer stations that the health system has provided for them. The facility’s new Health Resource Center employs a full-time librarian ready to help them view their pay stubs in privacy. Fauquier Health System’s administrators are happy, employees are happy, and Fauquier Health System can now devote even more time and money to their first priority – their patients.

Alachua County Schools Expanding Employee Options with EZStub Electronic Pay Stubs

Tampa, FL (April 16, 2007) – Alachua County school employees will now have a choice – either continue receiving traditional paper pay stubs or view their pay information online by using National Payment Corporation’s EZStub electronic pay stub service.

“We want to offer employees an alternative to paper pay stubs, and we chose EZStub for its low cost,” said Scott Ward, Chief Financial Officer for Alachua County Public Schools in northern Florida.

Employers are always searching for cost-efficient ways to increase employee benefits, but public school systems also have to deal with limited resources as they combat school overcrowding and limited funding sources. Online pay stubs often solve the problem – for every employee that receives an online pay stub, the schools save money and time that was previously spent creating and distributing the paper version. National Payment’s “Keep More Money in Your Schools” program provides reduced pricing for schools as a further incentive.

EZStub users have online access to their pay stubs 24 hours a day, seven days a week, and they also receive an email or text message as each new pay stub becomes available. “Thirty-five percent of the 200 million cell phone users in this country are already using text messaging to communicate. Providing free payday text alerts to employees is just one more benefit that employers can offer,” according to National Payment’s Marketing Director, Mark R. Williams.

Duval County Schools Saves $80,000 a Year with Online Pay Stubs

Tampa, FL (April 10, 2007) – National Payment Corporation (NatPay) is going back to school. As part of their “Keep More Money in Your Schools” program, they’re going to provide Duval County School District employees with free payday text alerts and paperless pay stubs at a reduced rate.

Schools and corporations around the country have switched to electronic pay stubs for their cost-effectiveness and convenience. EZStub users can view their pay stub information online 24 hours a day, seven days a week, but that’s not all, according to Mark Williams, NatPay’s Marketing Director. “Now employees can also receive their pay stub information online, via email, or as a text message on their cell phone or PDA,” he remarked.

Duval County Public Schools (DCPS) is taking steps to save millions of dollars. These opportunities were presented as recommendations from Project INVEST, a task force commissioned by Superintendent Joseph Wise and the Alliance for World Class Education. One of their recommendations was for DCPS to implement electronic pay stubs. “The goal of Project INVEST is to create a better and more efficient system that will benefit our students, staff and our taxpayers,” said Superintendent Joseph Wise.

Duval County Public Schools chose National Payment Corporation because EZStub is compatible with the DCPS’s current processes and can be deployed rapidly at a relatively low cost. Implementation of EZStub will reduce the DCPS’s current cost by an estimated $80,000 each year and these savings will be directed to the classrooms.

Duval County Public Schools is the 19th largest school district within the country that employs approximately 14,500 individuals and serves approximately 123,500 students.

National Payment Corporation Takes Wireless Payroll to Southeastern Educators

Tampa, FL (April 9, 2007) – National Payment Corporation announced today that it is sending delegates to the Southeastern Association of School Business Officials and South Carolina Spring Conference to demonstrate the latest innovations in the wireless payroll industry. National Payment’s Web Direct Deposit service, EZStub electronic pay stubs, and employee paycard programs have helped schools across the country save money, time, and critical human resources. By using National Payment’s “Keep More Money in Your Schools” program, many Southeastern schools have already reaped the rewards of a “less-paper” approach to their payroll process.

“We investigated and found EZStub to be a terrific idea,” said Sam Hurst, Executive Director of Business Services for the Citrus County School Board in Florida. “It piqued our interest because of the cost, and the fact that our staff spends three days stuffing envelopes for each payroll.”

Once schools eliminate the expense of creating, printing, and distributing paper checks and pay stubs, they can often save thousands of dollars each year. “ By drastically reducing their payroll administration costs, school officials can redirect valuable resources to other areas,” said Jim Hagen, National Payment’s VP of Sales and Marketing.

The Southeastern Association of School Business Officials (SASBO) is a regional non-profit organization made up of public and nonprofit school personnel from the twelve southeastern states – Alabama, Arkansas, Florida, Georgia, Kentucky, Louisiana, Mississippi, North Carolina, South Carolina, Tennessee, Virginia and West Virginia. SASBO’s goal is to improve education by supporting the networking and professional development of its school administrators.
Their spring conference will be held from April 23rd through the 26th in Myrtle Beach, South Carolina.

National Payment Initiative Will Keep More Money in Your Schools

Tampa, FL (September 21, 2006) – National Payment Corporation thinks your public school system should spend more of its budget on classroom education and less on payroll administration. The company has cut its fees for public schools on EZStub, an electronic pay statement that replaces old-fashioned paper pay stubs and reduces payroll budgets. EZStub also offers features tailored to schools.

“I’m a mom, and I see everything getting stripped out of my daughter’s classroom due to budget constraints,” said Stacy Anthony of National Payment, explaining why she’s enthusiastic about the company’s new initiative aimed at public schools.

For public schools only, National Payment is waiving its EZStub set-up fee, offering the first three months of service at no charge, and making Anthony’s consulting services available at no additional charge to ensure that the start-up goes smoothly. For the period following start-up, monthly fixed fees have been reduced by more than 50%. The result? School systems experience an almost immediate return on investment: about $25,000-$30,000 annually for large systems and $10,000 for small.

National Payment knows schools well, so it has tweaked its product to serve the schools’ diverse employee base. For example, schools can’t expect to go 100% paperless immediately. Some employees may lack Internet access at home. At no additional cost, the school can use EZStub to separate out those employees so they can easily print their stubs on demand via the EZStub system.

EZStub’s messaging capability can reduce phone calls to schools’ payroll departments. “Teachers have unusual deductions that appear once in a blue moon,” said Anthony. The payroll department can include a message reminding them that “Your paycheck includes an $8 deduction for your annual legal contribution.” Also, the system can make an easily understood explanation – or even the phone number of the benefits provider – pop up when the employee moves the cursor over a deduction code. It’s easy for payroll to sort messages by department, pay class or school.

More than half of Florida’s public school systems are implementing or considering EZStub. “Cost savings alone wasn’t the driving force here,” said Sam Hurst, Executive Director of Business Services, Citrus County School Board, in Inverness, FL. “Convenience for our employees and picking up some extra time for my staff to do more important things made the decision an easy one.”

School districts and financial officers who want to learn more can arrange for Anthony to give a free, one-hour class on paperless payroll.

Case Study: Citrus County Schools Save Over $10,000 a Year with Online Pay Stubs

Citrus County Case Study

Business Profile

The Citrus County School System, located in Inverness, FL is a growing school district with 2,500 employees, 23 K-12 and specialty schools.

Business Objectives

The overall objective was to streamline remedial administrative work while providing additional convenience to employees.

The Challenge

First came the spooling, then the printing. Then the real fun began when Fedoris Franklin and her assistants in the payroll department would spend three straight days stuffing envelopes with pay stubs so a courier could deliver them to their schools. Even though 95% of CCSB employees were on direct deposit, the payroll department still had to prepare the paper pay stubs. A few days later the paper cuts would heal, but the calls would trickle in about a lost pay stub, or a request would placed for a past pay stub. This was a typical payroll cycle for the Citrus County School System.

Attempts were made to streamline the remedial administrative work, but all solutions involved purchasing cost-prohibitive, monster-sized payroll packages with a slew of unneeded extra features.

The Solution

Sam Hurst, CCSB’s Executive Director of Business Services, had never heard of NatPay’s online pay stubs when he received a call from Stacy Anthony, EZStub’s Division Manager. She explained how electronic pay stubs could eliminate the repetitive tasks of paper pay stub production, provide additional employee benefits, and increase cost savings. Best of all, NatPay’s online pay stubs would be compatible with their existing software and processes.

Rather than receive a paper stub that most employees just threw away, employees would be able to access their pay stubs online. Never again would pay stubs get lost or stolen. Since all electronic pay stubs are archived, employees wouldn’t have to waste their time (or Payroll’s) to obtain past stubs.

Implementation

Two pilot groups were set up and some employees expressed concerns with security. Once it was explained that NatPay’s online pay stubs use the same security and encryption measures that banks use to transfer billions of dollars, and that online pay stubs actually eliminate the risk of paper pay stub information running through multiple human hands to get from printer to employee, the new technology was embraced.

As Citrus County became familiar with NatPay’s online pay stubs, more customized features were added. For example, Citrus County is now taking advantage of NatPay’s unique messaging feature to communicate important payroll information to specific employees.

Return on Investment

By implementing electronic pay stubs, Citrus County expects to save $8,000 to $10,000 annually. These savings combined with NatPay’s nominal implementation costs are allowing Citrus County to enjoy a virtually immediate return on their investment.

High Tech Pay Stubs Save Money for Employers, Make Life Easy for Employees

Tampa, FL (April 20, 2006) – Payday has entered the world of electronic information with a program created by National Payment Corporation called EZStub.

Paper pay stubs continue to exist, even though most employers now use direct deposit to pay employees. Today’s technology enables employers to eliminate paper stubs and move towards less paper in the work place.

National Payment Corporation has announced the development of the latest version of EZStub, an electronic pay statement that replaces old fashioned paper pay stubs. Now employees can get their pay stub by E-mail, to their PDA, or sent to a cell phone.

“EZStub saves time and money for payroll administrators, human resource managers, finance officers, budget analysts, accountants, and CFOs. Employees love it because now they have instant access to their payroll records, without the need to get that information from someone else in the company. Employees also love to receive payroll information in real time, rather than waiting for delivery of a hard copy pay stub,” explained Stacy Anthony of National Payment Corporation.

EZStub is currently used by companies as an outsourced solution to reduce printing, sorting, and delivery costs in their payroll department. Some companies enjoy the ability to use EZStub as an employee self-serve benefit that allows their employees to access their pay information from any location. Employers are able to reduce administration and production costs associated with payroll distribution of pay stubs.

“If employees need current or past pay information, they can get that from a secure web site with no need to take up the time of a payroll department employee. The value of a reduced work load and higher productivity to a company can be significant during the course of a year,” said Anthony.

EZStub is the perfect paperless payroll solution. Many payroll processors and businesses use computers to process their payroll, and even benefit from direct deposit – but still continue to print and distribute pay stubs by hand or mail. EZStub is the final piece of the puzzle that completes the money saving process of a paperless payroll.

The company provides additional information at ezstub.com.

EZStub Electronic Pay Stubs Selected by Westinghouse to Replace Traditional Printed Pay Stubs

Tampa, FL (April 20, 2006) – Westinghouse Electric Company, LLC needed a robust, online solution to reduce paper pay stub delivery and printing costs, while also meeting high security needs that also had to be user friendly – EZStub became the solution.

Like most companies, Westinghouse has been printing all pay stubs in house and mailing them to employees. Implementation of a paperless pay stub solution would significantly reduce printing and delivery costs.

Many payroll processors and businesses use computers to process their payroll, and even benefit from direct deposit – but still continue to print and distribute pay stubs by hand or mail. EZStub, from National Payment Corporation, is the final piece of the puzzle that completes the money saving process of a paperless payroll.

“National Payment Corporation was willing to work with us on all the enhancements we needed to meet our overall objectives for implementing a paperless pay stub solution,” explained Karen Kranz, manager of payroll and expense reporting for Westinghouse.

The number one priority for Westinghouse was for their employees to use a highly secure solution that allowed them to feel comfortable retrieving their information from the Internet as well as being very easy to use, according to Kranz.

Westinghouse rolled out EZStub in January 2006 to all monthly paid employees on direct deposit. Every cycle of the rollout process was carefully monitored, discussed, and evaluated. The EZStub system met with a favorable response from the Westinghouse employees using the solution.

“The IT team at National Payment was very patient and resourceful in helping us implement all of the suggestions that our employees had made. Communication was great and the turnaround time even better,” said Kranz.

By implementing National Payment’s EZStub electronic pay stub solutions, Westinghouse projects a savings of $40,000 in operating costs for 2006, according to Kranz.

“EZStub saves time and money for payroll administrators, human resource managers, finance officers, budget analysts, accountants, and CFOs. Employees love it because now they have instant access to their payroll records, without the need to get that information from someone else in the company. Employees also love to receive payroll information in real time, rather than waiting for delivery of a hard copy pay stub,”

“If employees need current or past pay information, they can get that from a secure web site with no need to take up the time of a payroll department employee. The value of a reduced work load and higher productivity to a company can be significant during the course of a year,” explained Stacy Anthony of National Payment Corporation.

The company maintains a web site at nationalpayment.com, and provides more information about the solution developed for Westinghouse at ezstub.com.

Case Study for Westinghouse Electric Company

Westinghouse Logo

Business Profile

Westinghouse Electric Company LLC, offers a wide range of nuclear plant products and services to utilities throughout the world, including fuel, service and maintenance, instrumentation and control, and advanced nuclear plant designs. Nearly 50 percent of the nuclear power plants in operation worldwide, and nearly 60 percent in the United States, are based on Westinghouse technology.

Business Objectives

The overall objective was to find a robust paperless payroll solution that would reduce printing and delivery costs; and at the same time meet high security and user friendliness requirements.

The Challenge

Until recently, Westinghouse printed all pay stubs in house on high quality pressure sealed check stock and mailed each pay stub to the employee. Implementing a paperless pay stub solution would reduce these costs almost immediately. After an extensive analysis of their current situation and internal requirements for a paperless solution, Westinghouse defined criteria to rank potential vendors. Each criteria was given a weight according to their most important needs. These included: security, file transfer options, file administration, ID/password administration, user friendliness, pay stub delivery/access options, overall appearance of the product, length of implementation, disaster recovery, cost, and financial stability of vendor. NatPay ranked the highest in most of the categories, but stood out as the vendor willing to provide Westinghouse a solution to fit every need, even down to the design of the online pay stub. Karen Kranz, Manager of Payroll and Expense Reporting, remarked:

“NatPay was willing to work with us on all the enhancements we needed to meet our overall objectives for implementing a paperless pay stub solution.”

The rollout consisted of a three month pilot of designated employees from each business location. After two months, pilot users were asked to complete a survey on system security, accessibility, and appearance as well as on the rollout documentation and communications. The overall response was very positive. Comments and suggestions were carefully reviewed and a corresponding action plan was developed. Enhancements were then made by either NatPay to the system or by Westinghouse to the rollout communications and documentation. In January 2006, Westinghouse rolled out online pay stubs to all monthly paid employees on direct deposit.

The number one priority for Westinghouse was for their employees to use a highly secure solution that allowed them to feel comfortable retrieving their information from the Internet as well as being very easy to use. Every cycle of the rollout process was discussed via conference calls and the result was a complete rollout that yielded a favorable response from the Westinghouse employees using this solution.

“The IT Team at NatPay was very patient and resourceful in helping us implement all of the suggestions that our employees had made. Communication was great and the turn around time even better!”

The Solution

Online pay stubs became the solution for Westinghouse. Online pay stubs from NatPay added features that addressed security, employer options, and employee delivery options. Security, being the most important concern, was achieved on different levels. Specific username and password options were added, as well as a controlled website that would allow an administrator to handle password resets without being able to access secure employee payroll information. The flexibility of the employer being able to choose the type of security levels and delivery methods made NatPay’s online pay stubs not only user friendly, but customizable as well. This added functionality also ensured that all business requirements could be met.

Always striving to conquer any challenge presented, NatPay provided a complete paperless payroll solution to Westinghouse which surpassed any comparable solutions available in the marketplace at a very competitive overall cost.

Return on Investment

By implementing NatPay’s online pay stub solutions, Westinghouse projects a savings of $40,000 in operating costs for 2006. Westinghouse has already received a favorable response from their employees currently benefiting from online pay stubs.
